Acknowledgment Policy for Use of WVCTSI & NIH Resources

Citing:

WVCTSI must be acknowledged when preparing statements, press releases, presentations, requests for proposals, bid invitations, and other documents describing projects or programs conducted as a WVCTSI Member.

For each publication that results from WVCTSI support, grantees must include an acknowledgment of WVCTSI support and a disclaimer. Suggested text is noted below and  the acknowledgment may be slightly modified to satisfy specific journal policies:

Each publication, press release, presentation, or other document about research supported by an NIH award must include an acknowledgment of NIH award support and a disclaimer such as:

“Research reported in this publication was supported by the National Institute of General Medical Sciences of the National Institutes of Health under Award Number 5U54GM104942-08. The content is solely the responsibility of the authors and does not necessarily represent the official views of the National Institutes of Health.”

Important Points About Citation:

  • For grants affiliated with WVCTSI but separate from CTR award, remember those awards must also be cited.
  • For projects that span across fiscal years, it is permissible to use the root award number. For the WVCTSI CTR, that is: U54GM104942.

This policy is applicable to:

  • individuals whose salary, education, or research activities are funded all or in part by WVCTSI direct or institutional match funds;
  • those whose work on the cited project is in support of activities related to WVCTSI and work resulting from Faculty/Scientist and Associate/Trainee members;
  • and those who have utilized services/resources provided by WVCTSI such as biostatistics consultations, grant writing guidance, clinical trials coordination, data analysis, etc.

An approved version of the WVCTSI logo may also be incorporated into communications (example: posters) to further highlight the institute's support. The logo may not be altered in any way- including stretching, cropping, or altering colors.

NIH Public Access Policy

As a federally-funded organization, WVCTSI requires those citing WVCTSI-affiliated awards to follow the NIH Public Access Policy.

The 2024 NIH Public Access Policy requires Author Accepted Manuscripts accepted for publication in a journal, on or after July 1, 2025, to be submitted to PubMed Central upon acceptance for publication, for public availability without embargo upon the Official Date of Publication.

This access policy applies to any publications that cite or credit the WVCTSI award (U54GM104942) from the NIH and any other affiliated awards.

IMPORTANT: Linked publications that remain out of compliance may jeopardize the release of annual funding installments to the WVCTSI. If you have not linked your applicable publications to the WVCTSI via eRA COMMONS/My NCBI or ensured their compliance, please do so as soon as possible.  

Foreign Components & Compliance

IDeA Notice of Funding Opportunities (NOFO) do not allow foreign components as defined in the NIH Grants Policy Statement.

Publications with foreign authors are not allowed per IDeA NOFOs unless prior approval has been obtained as per NOT-OD-26-026

Important Hints & Tips for Authors of Scientific Publications

  • 2/2026 UPDATE! PIs are required to submit prior approval requests for any publication co-authored with individual(s) affiliated with a foreign institution(s).  Per NOT-OD-26-026, prior approval requests must be initiated and submitted by a Signing Official (SO) for the recipient organization.
    • To initiate the pre-approval process: e-mail Meg Hardman at mehaller@hsc.wvu.edu upon project start up so approvals are in place prior to publication.  
  • Be sure to reference WVCTSI/the project award in the text of the publication prior to submission to the journal.
  • If the journal is one that submits publications for linking on authors' behalf, authors do not also have to do so. This creates duplicate entries in the various reporting systems, which can cause errors.
  • Be sure to open e-mails and address any communications from journal editors/ publishers in a timely manner to ensure all steps of the publication linking process are complete. In some cases, authors are required to provide TWO approvals, which may look like duplicate approval requests, but they are NOT. 
    • Check your email’s junk/spam folders for messages from scientific journals
